2. What information we collect

Depending on the service you use, Marina Medicals may collect and process:

  • your name, date of birth, address and contact details;
  • identification and appointment information;
  • employer, occupation, job role and work-related information;
  • medical history, medication, examination findings and other health information;
  • results of investigations such as vision testing, audiometry, spirometry, exercise testing, drug and alcohol testing or laboratory investigations where applicable;
  • information supplied by an employer, referring organisation, GP, specialist, laboratory or other healthcare professional;
  • certificates, fitness decisions and reports generated as part of your assessment;
  • correspondence and communications with you;
  • payment and transaction information; and
  • limited technical information generated when you use our website.

Health information is special-category personal data and receives additional protection under data protection law.

3. How we obtain your information

We normally obtain information:

  • directly from you when you enquire, book or attend an appointment;
  • from an employer or organisation arranging or referring you for an assessment;
  • from healthcare professionals, laboratories or other third parties where you have authorised this or where it is otherwise lawful and necessary;
  • from documentation you provide for a regulatory, employer or medical-certification assessment; and
  • automatically through our website and permitted cookies or analytics technologies.

Where information is supplied by an employer or referrer, this may include your identity, occupation, job demands, reason for referral and the questions or certification requirements relevant to the assessment.

4. Why we use your information

We use personal information where necessary to:

  • arrange and administer appointments;
  • provide medical examinations, occupational-health assessments and medical certification;
  • assess fitness for work, training, travel, maritime, offshore, safety-critical or other activities;
  • carry out investigations and interpret results;
  • issue certificates, reports and medical opinions;
  • communicate with you, employers, referrers and other appropriate parties;
  • process payments and maintain business and financial records;
  • meet professional, regulatory and legal obligations;
  • maintain appropriate clinical records;
  • manage complaints, queries and legal claims; and
  • operate, secure and improve our website and services.

For ordinary personal data, the lawful basis may include performance of a contract, compliance with a legal obligation, and legitimate interests in providing and administering appropriate medical and occupational-health services. The appropriate basis depends upon the particular service and circumstances.

Where health information is processed for medical or occupational-health purposes, Marina Medicals generally relies upon Article 9(2)(h) UK GDPR, together with the relevant provisions of the Data Protection Act 2018, for purposes including occupational medicine, assessment of working capacity, medical diagnosis and provision of healthcare. Processing is undertaken by a registered medical practitioner subject to professional duties of confidentiality.

Where we specifically rely upon your consent for an optional use or disclosure, you may withdraw that consent. Withdrawal does not affect processing that was already lawful before withdrawal.

Providing information for an assessment

Certain personal, medical, occupational or employer information may be required in order for Marina Medicals to undertake an assessment, issue certification, meet regulatory requirements or fulfil an agreed service.

If information that is necessary for the assessment is not provided, Marina Medicals may be unable to complete the assessment, reach a fitness decision, issue a certificate or provide the requested service.

5. Employers, referrals and medical confidentiality

Where an employer or other organisation has requested an assessment, Marina Medicals may provide the appropriate fitness outcome, certificate or occupational-health report to that organisation where this forms part of the agreed assessment process.

Clinical information will not ordinarily be disclosed unnecessarily. Reports and certificates are limited to information relevant to their purpose, subject to professional confidentiality, applicable law and the requirements of the relevant medical or certification scheme.

Where appropriate, the nature of information to be disclosed will be explained to you as part of the assessment process.

6. Who we may share information with

Where necessary and appropriate, information may be shared with:

  • the employer or organisation that commissioned or requires the assessment;
  • regulatory, certification or industry bodies where required for the relevant medical pathway;
  • laboratories and diagnostic providers;
  • your GP, specialist or another healthcare professional where clinically appropriate and properly authorised;
  • providers supplying secure booking, hosting, communications, payment or IT services;
  • professional advisers, insurers or legal representatives where necessary; and
  • public authorities where disclosure is required by law.

We do not sell personal information.

7. International transfers

Some technology and service providers may process information outside the United Kingdom.

Where personal information is transferred internationally, Marina Medicals will use providers and arrangements intended to ensure that appropriate safeguards required by UK data-protection law are in place.

8. How long we keep information

We retain information only for as long as reasonably necessary for the purpose for which it was collected and to meet applicable medical, professional, regulatory, legal, taxation, insurance and record-retention requirements.

Different retention periods may therefore apply to different types of records and medical-certification schemes.

Clinical and occupational-health records may need to be retained for longer periods than routine enquiries or administrative correspondence.

9. Your data-protection rights

Depending upon the circumstances and the lawful basis being used, you may have rights including:

  • access to personal information held about you;
  • correction of inaccurate information;
  • restriction of processing;
  • erasure in appropriate circumstances;
  • objection to certain processing;
  • data portability where applicable; and
  • withdrawal of consent where processing is based upon consent.

These rights are not absolute. For example, medical, regulatory or legal obligations may require Marina Medicals to retain certain records even where deletion is requested.

To exercise a data-protection right, contact ask@marinamedicals.co.uk.

Your right to object

Where Marina Medicals relies on legitimate interests as the lawful basis for processing your personal information, you have the right to object to that processing. We will consider any objection in accordance with applicable data-protection law.

10. Automated decision-making

Marina Medicals does not use solely automated decision-making to make medical fitness or certification decisions that have legal or similarly significant effects.

Clinical and fitness decisions are made or reviewed by an appropriately qualified doctor.

11. Security

Marina Medicals takes appropriate technical and organisational measures to protect personal information, particularly medical and health information, against unauthorised access, loss, disclosure or misuse.

Access to clinical information is restricted according to professional and operational need.

12. Cookies and website analytics

Our website uses essential cookies and, subject to your consent where required, analytics technologies.

You can accept, deny or change your cookie preferences through the website consent controls.

Further information is available in the Cookie Policy section of this Legal & Privacy page and in our Complianz-generated Cookie Policy.

13. Complaints

If you have concerns about how Marina Medicals has handled your personal information, please contact us first at ask@marinamedicals.co.uk so that we can investigate.

You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data-protection supervisory authority.

Terms & Booking Conditions

Last updated: 5 September 2026

1. About these terms

These Terms & Booking Conditions apply to appointments, medical assessments, testing and certification services supplied by Dr Farah MacDonald trading as Marina Medicals.

By booking an appointment, instructing Marina Medicals to provide a service, or attending an assessment, you agree to these terms.

Nothing in these terms affects your statutory rights. Consumer services must be provided with reasonable care and skill, and contractual terms cannot remove rights that the law gives consumers.

2. Our services

Marina Medicals provides doctor-led medical assessment and certification services including maritime, offshore and energy, employer-specific PEME, safety-critical, occupational and other specialist medical assessments.

The exact requirements of an assessment may be determined by:

  • the relevant regulatory or industry standard;
  • your employer, training provider or referring organisation;
  • the purpose of the medical;
  • your medical history and clinical findings; and
  • any further information or investigations reasonably required before a decision can be made.

Booking and paying for an assessment does not guarantee that a medical certificate, unrestricted fitness decision or particular outcome will be issued.

3. Booking and payment

For services advertised at a fixed price, payment is due at the time of booking unless Marina Medicals has expressly agreed otherwise.

For bespoke, employer-specific or non-fixed-price services where the final charge depends on the assessment requirements, payment is normally required within 48 hours of confirmation of the fee.

Where an appointment is arranged less than 48 hours before attendance, payment may be required immediately.

An appointment may remain provisional until the required payment has been received. Marina Medicals may release an unpaid provisional appointment if payment is not received within the stated period.

Where an employer or other organisation has expressly agreed to be invoiced, separate payment arrangements may apply.

4. Cancellation and rescheduling by the patient or client

Please contact Marina Medicals as soon as possible if you need to cancel or rearrange an appointment.

Our normal cancellation terms are:

  • More than 48 hours before the appointment: no cancellation charge.
  • Between 24 and 48 hours before the appointment: up to 50% of the total medical fee may be retained or become payable.
  • Less than 24 hours before the appointment, or failure to attend: up to 100% of the total medical fee may be retained or become payable.

The medical fee means the fee for the assessment booked — for example the applicable ENG1, OEUK, PEME, safety-critical or other medical fee — rather than a separate administrative appointment charge.

These charges reflect clinical time reserved and the direct loss that may arise when an appointment cannot reasonably be offered to somebody else at short notice.

Where Marina Medicals is able to reduce its loss — for example by filling the appointment with another patient — any appropriate reduction or refund will be considered.

Cancellation charges will not be applied in a manner intended to exceed Marina Medicals’ reasonable direct loss. Current CMA guidance states that cancellation charges should be proportionate, reflect genuine loss and take account of reasonable steps a business can take to mitigate that loss.

5. Late arrival

Please arrive at the time stated in your booking confirmation and allow sufficient time for travel and parking.

If you arrive late, Marina Medicals will try to complete the assessment where this can be done safely and without adversely affecting subsequent appointments.

However, substantial lateness may mean:

  • the appointment has to be shortened where clinically appropriate;
  • part of the assessment must be rearranged; or
  • the appointment cannot proceed and must be rebooked.

Where an appointment cannot reasonably proceed because of late arrival, the cancellation terms above may apply depending on the circumstances and the loss incurred.

6. Information and documents you must provide

You are responsible for providing information that is complete and accurate to the best of your knowledge.

Depending upon the assessment, you may be asked to bring or provide:

  • photographic identification;
  • spectacles or contact lenses;
  • current medication or a medication list;
  • previous certificates;
  • employer or training-provider documentation;
  • medical reports or specialist correspondence;
  • vaccination information;
  • regulatory forms; and
  • other documents relevant to the assessment.

Failure to provide required information may prevent completion of the medical or delay certification.

7. Medical assessment and certification

Medical certification is a professional clinical decision.

Marina Medicals cannot guarantee in advance that you will be:

  • medically fit;
  • issued an unrestricted certificate;
  • issued a certificate for the maximum permitted duration; or
  • certified on the day of attendance.

Possible outcomes may include unrestricted certification, restricted or time-limited certification, deferral pending further information, or a finding that the relevant medical standard is not met.

Decisions are made according to the applicable clinical, regulatory, industry or employer requirements.

8. Further medical evidence and investigations

If your history, examination or test results indicate that further information is required, Marina Medicals may request:

  • information from your GP;
  • specialist reports;
  • additional blood or laboratory tests;
  • ECG or other investigations;
  • repeat testing;
  • treatment information; or
  • other evidence relevant to the certification decision.

Certification may be deferred until that information has been received and reviewed.

Unless expressly included in the price of the booked medical, additional investigations, external reports and further appointments may incur additional charges. Any known additional Marina Medicals fee will normally be explained before the additional service is undertaken.

Fees charged independently by GPs, specialists, laboratories or other third parties are outside Marina Medicals’ control.

9. Appointment duration

Published appointment durations are approximate.

Some assessments may take longer where there is a complex medical history, additional testing, employer-specific documentation or a need to review further evidence.

An estimated appointment duration is not a guarantee that the entire certification process will be completed within that period.

10. Certificates, reports and results

Where the assessment is satisfactory and no further evidence is required, certificates may often be issued at the appointment or shortly afterwards.

Some test results, laboratory investigations or complex employer-specific medical packages take longer.

Where a certificate, fitness statement or report is intended for an employer, regulator, training provider or other organisation, it may be supplied to that organisation where this forms part of the agreed purpose of the assessment and is consistent with professional confidentiality and applicable law.

Original certificates may need to be collected or posted depending upon the certification scheme.

11. Drug, alcohol and laboratory testing

Where drug, alcohol or laboratory testing is undertaken:

  • screening tests may have limitations and may require laboratory confirmation;
  • chain-of-custody procedures will be followed where specifically requested and arranged;
  • a screening result should not automatically be interpreted as a definitive clinical or disciplinary conclusion;
  • turnaround times for external laboratory results are estimates rather than guarantees; and
  • additional confirmatory testing may incur further charges.

Urine alcohol screening indicates recent alcohol exposure and should not be interpreted in isolation as a measure of current impairment.

12. Employer and organisation bookings

Where an employer, agency or other organisation books or commissions an assessment, that organisation is responsible for clearly identifying any specific medical standard, testing panel, form, certificate or other requirement it expects Marina Medicals to complete.

Marina Medicals will follow recognised requirements where these are known and applicable, but cannot be responsible for requirements that have not been disclosed before the assessment.

Where an employer’s requirements materially alter the scope of the booked assessment, additional fees or a further appointment may be required.

13. Cancellation or alteration by Marina Medicals

Occasionally Marina Medicals may need to cancel, postpone or change an appointment because of illness, equipment failure, premises issues, regulatory requirements or another circumstance outside reasonable control.

Where Marina Medicals cancels an appointment and cannot provide the booked service, you will normally be offered:

  • an alternative appointment; or
  • a refund of the relevant amount paid for the service that Marina Medicals is unable to provide.

Marina Medicals will not seek to retain payment for a service it has cancelled without providing the service or an appropriate alternative.

14. Refunds

Any refund due will normally be returned using the original payment method where practicable.

Refunds may take several working days to appear depending on the payment provider or bank.

A refund is not normally due merely because the outcome of a medical assessment or certification decision is different from the outcome the patient hoped to receive, provided the medical service itself has been properly delivered.

15. Professional standards and liability

Marina Medicals will provide medical services with reasonable professional care and skill.

Nothing in these terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence or other rights that cannot legally be excluded.

Marina Medicals is not responsible for losses arising solely from:

  • inaccurate or incomplete information supplied by the patient, employer or another third party;
  • failure to disclose material medical information;
  • regulatory or employer requirements that were not disclosed to Marina Medicals;
  • decisions made independently by employers, regulators, training providers or other organisations; or
  • delays caused by third-party laboratories, healthcare providers or reports outside Marina Medicals’ reasonable control,

except to the extent that Marina Medicals is legally responsible for such loss.

16. Privacy and confidentiality

Personal and medical information is processed in accordance with professional confidentiality requirements and applicable data-protection law.

Please see the Privacy Notice above for further information about how Marina Medicals handles personal information.

17. Complaints

If you are dissatisfied with any aspect of the service, please contact Marina Medicals so that the matter can be investigated.

Email: ask@marinamedicals.co.uk
Telephone: +44 7921 827707

Making a complaint does not affect your statutory rights.

18. Changes to these terms

Marina Medicals may update these Terms & Booking Conditions from time to time to reflect changes in services, regulation, professional guidance or law.

The terms applicable to a booking will ordinarily be those in force when the booking is made, unless a change is required by law or regulatory requirements.

19. Governing law

These terms are governed by the laws applicable in England and Wales.

Nothing in this section removes any mandatory legal rights that a consumer may have regarding where a claim can be brought.
